Here At Corley Transaction Services, we believe Transaction Coordination can be summarized with the 12 Cs:


  • Contact: Within the first 24 hours of being under contract, CTS will get a congratulations email sent to the client(s), an introduction email sent to the co-op agent, and an introduction + informational email to both lender and title.


  • Command: CTS will submit fully executed contract materials to Command within 48 hours of execution. CTS will also be sure to ensure the EMD was deposited with the title company and get the receipt in Command within the first 3-5 days of being under contract.


  • Comb: Within the first week of being under contract, CTS will thoroughly comb through everything within contract documents to ensure everything is fully complete. Problems = Amendment. We will do our best to try for one amendment up front.


  • Consider: CTS will be sure to confirm inspection is arranged in accordance with the contract deadline. We will also inform all parties of when inspections will take place. We will stay in contact with you so we may properly write up and send off the Inspection Notice.


  • Commission: CTS will complete the DA when moving forward after inspections. Once we have obtained it, the DA MUST BE approved by you as the agent before CTS will submit to title, lender, and compliance.


  • Calculate: If working with a lender, CTS will monitor appraisal timeline and completion with the lender. CTS will check in with the lender regarding appraisal and any work orders or appraisal value issues. CTS will keep the client informed of all progress.


  • Certificate: If a home warranty is requested, CTS will get it ordered post inspections. CTS will inform the client and realtor of order. We will then send an invoice to the client with realtor CC’d and upload to Command. 


  • Consult: CTS will work with lender, title, and co- op agent to schedule the closing appointment as close to the contract date as possible. Once set up with lender, title, and co-op, CTS will confirm the closing date and time with you and your client.


  • Compliance: CTS will be sure to have all files (both agency and under contract) submitted to Command no later than 7 DAYS prior to closing. If compliance comes back with corrections, CTS will draft and send correction amendments and then upload and resubmit the folder.


  • Coordinate: CTS will send a "Utility Transfer Guide" email to the client. CTS will also schedule, coordinate, and confirm the Final Walk-Through with both the co-op agent and the realtor. The goal for the walk-through will be 1-2 days before closing unless told otherwise.


  • Closing: CTS will send out a "We Have a Closing Date!" email to the client and check in with you to see if anything else might be needed leading to the closing table. CTS will also triple check that all files are compliant 3-5 days prior to closing.


  • Continuing: CTS will send a "Post Sale Reminders" email to the client at least a week after close. CTS will work with you about whether you have specific systems for future referrals to incorporate into this client email.


Additional Steps CTS Takes Throughout Contract-to-Close Process:


  • Handle all closing documents securely.


  • Ensure Lender, Title Company, and Broker receive all amendments and changes.


  • Maintain continuous contact with title company and lender.


  • Provide client text/email updates on the status of the transaction.


  • Update calendar deadlines from amendments.


  • Coordinate and monitor status of buyers’ loan with Loan Officer.


  • Provide the represented client a copy of ALL documents.


  • Maintain constant contact with all parties involved for status updates and outstanding items.


  • Upload all disclosures, documents, and reports into transaction management service as they are received or fully executed throughout the transaction.



When a transaction is under contract I will: 


  • Coordinate opening of the file with escrow and handle all documents securely.


  • Introduction email will be sent providing a timeline of deadlines with a copy of the executed contract to coop-agent, buyers agent, buyer/seller - (Your client as appropriate) lender and title company.


  • Ensure everything is fully executed with dates, initials, signatures, broker information is completed. 


  • Submit all required contract documents to broker for compliance.


  • Send/request disclosure packages and gather signatures if needed. 


  • Ensure the lender, title company, and broker receive any amendments or changes to the contract. 


  • Verify EM deposit and obtain receipt from escrow. 


  • Verify inspection date and time. Ensure all parties have received reports to review. 

  • Keeping in contact with the title company and lender throughout the transaction. Provide agent email updates on the status of the transaction keeping you informed. 


  • Update deadlines due to any changes in the contract. 


  • Order Home Warranty per contract if needed. 


  • Confirm inspection has been set up in accordance with offer deadline. 


  • Monitor appraisal timeline and completion with the lender. 


  • Coordinate and monitor buyers loan status with lender. 


  • Ensure your buyer/seller is provided a copy of all documents. 


  • Remind agent to draft Commission Disbursement. If TC is completing CD request, form MUST BE approved by agent before submitting to escrow and compliance.


  • Upload all disclosures, documents, and reports into agents online transaction management service as they are received or fully executed throughout the transaction. (if applicable) 


  • Provide access to the transaction management service 24/7 to all parties to the transaction (if applicable) 


  • Maintain constant contact with all parties involved for status updates as well as outstanding items. 


  • Verify escrow has all required documentation. 


  • Coordinate and confirm final walk-through. 


  • Schedule signing appointment for client and agent if applicable. 


  • Conduct a final audit of file 7 days prior to closing to ensure all documents are uploaded and the file is complete. 


  • Confirm final recording and alert agents. 


  • Upload Final HUD/ CD to online transaction management service for compliance
